An Introduction to AI and Recruitment
AI is becoming part of everyday working life, including recruitment. It can be a useful tool for reducing barriers, organising thoughts and helping people communicate clearly.
At Transform Your Training, we want applications to give us a genuine sense of you: your experience, values, motivations and approach.
This guidance explains how AI can be used thoughtfully in our recruitment process, while keeping your application honest and personal to you.
Our Position on the Use of AI in Recruitment
We understand that candidates may use AI tools when applying for roles, for example to organise their thoughts, check spelling and grammar, improve clarity or support access needs. We are not asking candidates to avoid AI completely, but we do ask that it is used in a way that still reflects your own experience and judgement.
We also use AI tools within our work at Transform Your Training, including to support tasks such as drafting, reviewing, summarising and improving accessibility. However, we do not use AI to make recruitment decisions or to shortlist applications. Applications are reviewed by people, and our recruitment decisions are based on the information candidates provide, the requirements of the role and our recruitment process.
Accessibility and reasonable adjustments
We want our recruitment process to be accessible, fair and supportive. As part of the process, we will ask candidates whether they need any reasonable adjustments for interviews, tasks or other recruitment activities.
If using AI or AI-powered assistive technology would help reduce barriers for you, please let us know. We will consider this as part of our reasonable adjustments process, while making sure the recruitment activity still gives us what we need to assess the role requirements fairly.
Using AI in your application
We are not looking for the most polished AI-generated application. We are looking for honest, specific examples that show us how you think, how you work and what matters to you.
Keep your own voice at the centre
If you choose to use AI, please make sure the final application still sounds like you. AI can help with clarity, structure or confidence, but it should not replace your own examples or reflections.
If you are asked to prepare a presentation or complete a task, please do not worry about making it look perfect. We are much more interested in your ideas and approach than in something polished by AI that does not feel like you.
Use AI thoughtfully and protect personal information
Before entering information into an AI tool, please think carefully about what you are sharing. Some tools may store what you type, use it to improve their systems, or make it difficult to control where that information goes afterwards.
Please do not enter confidential, sensitive or personal information about yourself or anyone else into an AI tool unless you are confident it is safe and appropriate to do so.
Where you have a choice over the tools you use, we encourage you to choose ones that feel safe, responsible and transparent. We also recognise that candidates will not always have equal choice, particularly where assistive technology is involved.

The examples below show the difference between using AI as a support tool and using it in a way that could make an application less authentic.

You may wish to use AI in the recruitment process to do the following:
- Use AI-powered assistive technology to access application documents
- Research publicly available information about Transform Your Training
- Organise, refine or clarify your own ideas and thoughts
- Check spelling, grammar, readability or structure
- Practise interview preparation by reflecting on your own examples and experience
Uses of AI to avoid
Please avoid using AI in ways that could misrepresent your experience or make your application less authentic, including:
- Invent or inflate your experience or skill level
- Generate generic responses that do not reflect your own experience, knowledge or motivations
- Submit answers that you cannot confidently talk through or expand on at interview
- Use AI to complete recruitment tasks in a way that hides your own approach
- Share sensitive or personal information with an AI tool where it may not be safe or appropriate to do so
If we are unsure how AI has been used in an application, task or interview response, we may ask you about it so we can understand the context.
