The Personal Data We Collect and Why We Collect it

Transform your Training (www.transformyourtraining.org) works with businesses in a range of ways, mainly to deliver on-site training, training services and delivery of digital eTraining.

We retain information on businesses and individuals who access our services, details of services accessed and, where appropriate, some limited staff data.

We ask you for your personal and business details including business name, your name and contact details, previous experience, education, qualifications, support needs, employment history, referees and for answers to questions relevant to the course or role you have applied for.

You may also be asked to provide equal opportunities information. You do not have to provide this information but any information you do provide will be used only to produce and monitor anonymised equal opportunities statistics.

The information we ask for is used to assess your suitability for the course or role you have applied for. We do not collect more information than we need to fulfil our stated purposes or to fulfil legal or regulatory requirements if necessary, and will not retain it for longer than is necessary.

Comments and Media

If we allow it, and when you leave comments on the site we collect the data shown in the comments form, and also your IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/.

After approval of your comment, your profile picture is visible to the public in the context of your comment if you load one to Gravatar and if not, then a blank ‘no image’ will be used instead.

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact, Enquiry and Sign-Up Forms

If you decide to opt-in to our newsletter by using the newsletter pop-up, the dedicated newsletter page or the contact us page then we will record your contact and retain your details in order to allow us to deal with your enquiry and to send you newsletters, if applicable and opted-in.

All the information you provide during the process will only be used for progressing your enquiry and putting in place the relevant service(s) requested (i.e. a training course).

We will use the contact details you provide us with to contact you to regarding your business training needs. If you have given your consent you may be contacted at a later date to inform you of other related services which may be of interest.

We will not share any of the information you provide during the process with any third parties for marketing purposes. The information you provide will be held securely by us whether the information is in electronic or physical format and will only be shared with the trainer who we appoint to run your chosen course & their regulatory accreditation body, where applicable.

We retain information on businesses and individuals who access our website in line with our legal and contractual obligations.

Newsletter Subscription

We offer subscription to our newsletters. These will be sent to you if you have subscribed specifically for the service. If you book training through us we will not automatically subscribe you to our newsletter.

We do not spam or send unsolicited emails. All newsletters will show relevant content directly linked to our services or business.

Emails

We use Transport Layer Security (TLS) to encrypt and protect email traffic in line with government requirements. If your email service does not support TLS, you should be aware that any emails we send or receive may not be protected in transit.

We will also monitor any emails sent to us, including file attachments, for viruses or malicious software. Please be aware that you have a responsibility to ensure that any email you send is within the bounds of the law.

Cookies

If you leave a comment or interact on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Certain articles and courses on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behave in the exact same way as if you visited the other website directly.

Analytics

When you visit www.transformyourtraining.org, we use a third-party service, Google Analytics, to collect standard internet log information and details of the website visitor’s behaviour patterns.

We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website.

We also collect, use and share Aggregated Data such as statistical or demographic data for any purpose. Aggregated Data may be derived from your personal data but is not considered personal data in law as this data does not directly or indirectly reveal your identity. For example, we may aggregate your Usage Data to calculate the percentage of users accessing a specific website feature.

However, if we combine or connect Aggregated Data with your personal data so that it can directly or indirectly identify you, we treat the combined data as personal data which will be used in accordance with this privacy notice.

Who we share your data with

We may have to share your data with selected third parties, including third-party service providers and other entities outside of our business. However, we demand that these third parties respect the security of your data and treat it in accordance with the law, whether that be your data held in the U.K or transfers of your personal information outside the EU. If we do share your data, you can expect a similar degree of protection in respect of your personal information, as you’d get from us.

We operate on a strict ‘need to know’ policy for all data that we work with, and that is particularly true for any personal data we collect, or that may be shared with selected third-parties / organisations. Therefore the only third parties that are granted access to your personal data are:

  • Employees of Taye Training / Transform your Training and the trainer appointed by us.
  • Our web hosting technology suppliers (Coast Design) who provide the physical server infrastructures that our website(s) operate on. We ensure that all servers in use reside physically either in the UK or EU, and that no customer data is transferred to data centres outside the EU.
  • Analytics and other such anonymous information providers, such as Google Analytics, which allows us to monitor your visit anonymously, and to allow us to enhance your user experience on any future visits to our website(s).
  • Law enforcement & legal requests, where permitted by local data protection laws, we may disclose or otherwise allow others access to your personal information pursuant to a legal request, such as a subpoena, legal proceedings, search warrant or court order, or in compliance with applicable laws if we have good faith and belief that the law requires us to do so, with or without notice to you.

Protecting our rights and your safety means we may share your personal information with others if we believe in good faith that in doing so will help protect the rights, property or personal safety of Taye Training / Transform your Training, our employees, our customers, our website users, any users-of-users, or any member of the general public, with or without notice to you.

How long we retain your data

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.

By law we have to keep basic information about our customers (including contact, identity, financial and transaction data) for six years after they cease being customers for tax purposes.

In some circumstances you can ask us to delete or correct your data. Similarly, we may anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes; in which case we may use this information indefinitely without further notice to you. What rights you have over your data

Under certain circumstances, you have rights under the General Data Protection Regulations 2018 (GDPR) in relation to your personal data. You have the right to:

  • Obtain details about how your data is processed by us;
  • Obtain copies of personal data that we hold about you;
  • Have incorrect or incomplete data corrected;
  • Have your data erased where, for example, we have no legitimate reason for retaining the data;
  • Obtain your data from us and to have that data transmitted to another organisation (data portability);
  • Object to the processing of your data by us, in certain circumstances;
  • Not to be subject to (with some exceptions) automated decision making, including profiling.

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

How we protect your data

Taye Training has implemented security measures designed to protect the personal information you share with us, including physical, electronic and procedural measures.

Amongst other things, we offer HTTPS secure access to most areas across our range of services; the transmission of sensitive payment information (such as a credit card number) through our designated purchase forms is protected by an industry standard SSL/TLS encrypted connection. We also regularly monitor our systems for possible vulnerabilities and attacks, and regularly seek new ways and third-party services for further enhancing the security of our services and protection of our visitors and users privacy.

Regardless of the measures and efforts taken by Taye Training, we cannot and do not guarantee the absolute protection and security of your personal information, your users-of-users information or any other user content you upload, publish or otherwise share with Taye Training or anyone else.

We therefore encourage you to set strong passwords for your user account and avoid providing us or anyone else with any sensitive information of which you believe its disclosure could cause you substantial or irreparable harm. Furthermore, because certain areas on our services are less secure than others (for example, if you browse to a non-SSL page), and since e-mail and instant messaging are not recognised as secure forms of communications, we request and encourage you not to share any personal information on any of these areas or via any of these methods.

In the unlikely event of a data breach

Every precaution will be taken to avoid a breach of your data. However, if such a breach should occur, it will be documented, assessed as to its severity and appropriate action taken. The Information Commissioner’s Office (ICO) will be informed and you will be contacted to assist you in taking steps to mitigate the risks to yourself if the breach is deemed sufficiently severe to put you or your identity at risk.
